Terms and Conditions - The Lobby Game Days

Eligibility

1. This event is open to eligible individuals who:

1. Register their interest in The Lobby Game Days coaching sessions.

2. Participate in coaching sessions at the Sky Guild Gaming Centre

2. This event is open to:

1. All women

   1. All attendees are required to provide official government identification that outlines them as a woman or proof of previous women's only events they have attended that will be validated by staff.

2. Aged over 18 years old at the time of registration

3. Resident of the United Kingdom, Channel Islands and Isle of Man.

Registration and Entry Requirements

1. Registration of interest can be completed through the official Guild website.

2. Registration does not guarantee participation in the coaching sessions. Participants will be selected based on criteria including but not limited to:

1. Time of registration

2. Game title preference

3. Existing game knowledge

3. Participants are not required to bring their own equipment unless specifically instructed.

Entry Period

1. The registration period opens on 20 March 2025.

2. Coaching session dates will be communicated to registered participants via email.

Event Structure

1. The Lobby Game Days will feature coaching sessions across multiple esports titles including:

1. Fortnite

2. FC 25

3. Sim Racing

4. Other titles as announced

2. Each coaching session will be led by members of Guild's professional roster or coaching staff

Participant Selection and Notification

1. Selected participants will be determined based on the following criteria:

1. Registration date and time

2. Availability for scheduled sessions

3. Alignment with session focus (game title, skill level)

2. Selected participants will be notified by email at least 7 days prior to their scheduled session.

3. If selected participants cannot confirm their attendance within 48 hours of notification, Guild reserves the right to offer the place to another registrant.

Attendance

1. Participants must arrive at the Sky Guild Gaming Centre at least 15 minutes before their scheduled session time.

2. Participants who arrive more than 15 minutes late, without informing Guild of any delays via email or Discord, may forfeit their place in the session.

3. Participants are required to follow all venue rules and staff instructions.

Participant Conduct

1. Participants must demonstrate respectful behaviour towards coaches, staff, and other participants.

2. Guild reserves the right to remove any participant who engages in:

1. Abusive or offensive language or behaviour

2. Damage to venue equipment or property

3. Any behaviour deemed detrimental to the event experience

Technical Requirements

1. Guild will provide all necessary gaming equipment for the coaching sessions unless otherwise specified.

2. Participants wishing to use their own peripherals (e.g., mouse, keyboard, controller) must notify Guild in advance and have these approved. Guild reserves the right to refuse the use of certain equipment.

Data Protection

1. Any attendee data collected will be used for the purpose of administering the event and future communications about similar events.

2. By attending The Lobby Game Days, you agree that Guild may use your first name, surname, county, age, image, gamer tag and gameplay footage for post-event publicity purposes without additional remuneration. The event will be referenced and endorsed in our paid social and influencer posts. You can object to this publication or ask for less information to be published or made available by contacting us through the "Contact us" link on the website. If you object, this will not affect your participation in the event, but we may still be required to provide information to the Advertising Standards Authority.

Media and Content Creation

1. Participants grant Guild the right to photograph, film, record, and use their image and gameplay footage for promotional purposes.

2. Participants are permitted to share their own photos and videos of the event on social media, but are not permitted to film or record the coaching sessions without prior permission from Guild.

Health and Safety

1. Participants must disclose any relevant health conditions or requirements during registration.

2. Guild will make reasonable accommodations for participants with disabilities or special requirements when notified in advance.

3. In case of emergency, participants must follow all safety instructions provided by Guild staff.

General

1. Guild does not accept any responsibility for travel arrangements, cancellations, or delays which may affect participation in the event.

2. Except in the case of death or personal injury arising from its negligence or in respect of fraud and so far as is permitted by law, Guild and its associated companies and agents exclude responsibility and all liabilities arising from any postponement, cancellation, delay or changes to the event beyond Guild's control; and for any act or default of any third party supplier.

3. Guild will not be liable for any personal belongings that are lost, damaged, or stolen during the event.

4. Guild's decision is final and binding in all respects on all participants. No correspondence will be entered into. Participants that do not comply in full with these terms and conditions may be refused entry or removed from the event.

5. Guild may refuse entry or remove any participant if there are reasonable grounds to believe there has been a breach of these terms and conditions or if the participant concerned acts in a way towards Guild, other participants or staff which Guild reasonably considers to be inappropriate, unlawful or offensive.

6. Participants will be deemed to have accepted these terms and conditions and agreed to be bound by them when registering for this event.

7. This event, and any dispute or claim arising out of or in connection with it, shall be governed by and construed in accordance with English law. You irrevocably agree that the courts of England and Wales shall have exclusive jurisdiction to settle any dispute or claim that arises out of or in connection with this event.
